REFUND POLICY
NOTICE AND CANCELLATIONS
HQCoworking Space Ltd provide a membership-based coworking space and community. Both members and non-members may reserve and use some areas within the HQCoworking Space Ltd hubs.
The following terms apply to space use payments, cancellations and refunds:
MEMBERS:
Members are those that are full or part time based in one of our Coworking Hubs.
All of our memberships are billed on a month-to-month basis for the various plans we have. A notice of cancellation is required in writing by email to info@hqtralee.com 30 days in advance of the start of the final month (for example, if cancelling June 1st, written notice must be sent before May 1st).
We will be unable to process any refund if the member chose to terminate the membership before the agreed duration of membership.
Monthly reservations are charged at the time of booking for the first full month or any prorated dates, and a security deposit (if required). On ending of tenure, security deposit would be refunded.
DAY USERS:
Day Users are those that use either our Hotdesks, Meeting Rooms or Short-Term office space in one of our Coworking Hubs on a one-off or for a limited period of time.
Day users are not considered to be Full Members, and are billed in advance of entry into one of our Hubs and are non-refundable if not cancelled a minimum of 24hours in advance. If you wish to cancel in advance of the 24hour period, you may do so in writing by email to info@hqtralee.com We do however reserve the right to deduct processing fees.
MEETING ROOMS:
No refund is available if the reservation is not cancelled a minimum of 24hours in advance of the start time as we will be unable to re-book the space. If you wish to cancel in advance of the 24hour period, you may do so in writing by email to info@hqtralee.com We do however reserve the right to deduct processing fees.
EVENTS:
If you are using one of our hubs as the venue for your event, you may cancel your event for a full refund at least 72 hours in advance of your event date. The cancellation must be submitted in writing by email to info@hqtralee.com We do however reserve the right to deduct processing fees.
If your cancellation is received within the 72 hours prior to your event date, then you will be refunded 50% of your event fees. No refund is available if the reservation is not cancelled a minimum of 24hours in advance of the start time.
EVENT TICKETS:
If you have purchased a ticket for a HQCoworking Space Ltd sponsored event, workshop or other program, you may cancel your participation at least 24 hours before the start of the event for a full refund of the ticket price. The cancellation must be submitted in writing by email to info@hqtralee.com We do reserve the right to deduct processing fees.
If you cancel after 24 hours before the start of the event, you will not receive a refund as we will be unable to re-allocate your ticket.
If you have purchased a ticket for an event that is held at one of our hubs, but is hosted by a separate party or organisation, then you must contact that party directly regarding their refund policy. HQCoworking Space Ltd is in no way responsible for the payment or refund terms for outside organisations holding events within our workspace.
CANCELLATION TERMS:
Meeting and Hotdesks reservations (Day User) cancelled prior to 24 hours of booking start time will receive a full refund of any initial payment. We do however reserve the right to deduct processing fees. If a Day User cancels after the reservation starts, no refund is available. If there is a complaint from either party, notice must be given to HQCoworking Space Ltd within 24 hours of the reservation start time.
In relation to offices space and part-time or full-time hotdesk space (Member), reservations cancelled after the start date will receive no refund for the initial payment and will owe for the next full calendar month.
If an office member or a full/part-time hotdesk member fails to provide the minimum 30day notice period in vacating their agreement, HQCoworking Space Ltd reserves the right to charge for the following 30 days from the beginning of the next month.
A reservation is not officially cancelled until the guest receives a reply e-mail from HQCoworking Space Ltd. If this response e-mail is not received, please Contact Us.
Members are Issued an Agreement Document upon signing up to one of our Hubs. We may cancel your membership with immediate effect if you have breached any terms and conditions of this agreement, or membership fees or other charges remain unpaid 3 days after the due date and such a breach is not remedied by you within seven days, after being notified by us. There will be no refunds if you do not notify us as described above.
HQCoworking Space Ltd reserves the right to charge interest, processing charges and penalties in relation to late payments of membership fees.
